PreBookingOS crew app — privacy

This notice is for the PreBookingOS iOS and Android crew app (bundle id uk.automotivesystems.prebooking). The marketing hub notice is on privacy. The operator is the controller of their bookings and passengers; Automotive Systems is the processor of that file, and the controller of crew logins we host.

Who this app is for

Licensed operators create driver and dispatcher logins in the dashboard. Crew do not self-register. There is no public marketplace and no passenger account in this app.

Live location

Precise location is collected only while a job is on the way, arrived or on board.
The office and the passenger on that job see the latest pin so they can track the run.
We keep the latest fix only. When the job ends, sharing stops and that pin is cleared. We do not keep a movement history.
Background location continues after the screen locks for the same reason — the passenger can still see the car until the job is done.
Location is not used for advertising or to track you across apps.

SOS

If a driver confirms SOS, the app sends the time, the driver, the job if one is open, and the latest pin to the operator. The operator can be notified by SMS. The app does not call 999 for you. After confirm, the driver can ring the office or 999 themselves.

What else we process

Email and name on the login the operator created.
Job list, stage changes, statements of pay the operator configured.
A device token so the phone can remind the driver to slide Arrived near pickup, and so the office can send job alerts.

We do not sell this data. We do not use it to train a public AI model.

How long we keep it

Login records last as long as the operator keeps the account. Booking records follow the operator’s retention rules and licensing. Location pins do not outlive the job. SOS alerts stay on the operator’s dispatch board so they can follow up.

Your rights

Ask the operator to correct or remove a crew login — they create and delete accounts in the dashboard. You can also use the hub data request form or email hello@automotivesystems.co.uk. You can complain to us and to the ICO (ico.org.uk).
